HR Policy Review Checklist – What to Archive, Refresh, or Retire

Spring isn’t just for tidying closets—it’s also the perfect time to clean up your company HR policy. As laws change, operations shift, and workplace expectations evolve, it’s important to ensure your HR policies are current, compliant, and aligned with how your business functions today.

If it’s been a while since your last handbook or policy review, now’s the time to dust things off. Here’s an HR policy review checklist on how to approach a smart seasonal clean-up: 

Archive the Outdated, But Necessary 

Some outdated policies may not belong in your active handbook, but still need to be retained for legal or historical reference. These might include legacy COVID-19 procedures, old handbook versions, or policies tied to past systems or benefit programs. Just be sure to store them securely and label them clearly in case you ever need to reference them—especially for policies that governed pay, leave, or safety.

Refresh What Still Applies 

Some policies remain essential, but may need a refresh. Remote work guidelines, time off and leave policies, conduct expectations, technology use and pay practices should all be revisited at least annually to ensure they reflect current legal requirements and internal processes. Even small tweaks to language—like clarifying who a policy applies to or how to request an exception—can make a big difference. 

Clear Out the Clutter 

If a policy is no longer relevant, duplicative, or potentially confusing, it’s okay to let it go. Remove policies that reference outdated tools, no-longer-offered benefits, or procedures that have been replaced. Eliminating this clutter not only reduces confusion but also lowers legal risk by avoiding conflicting guidance. 

A Little Maintenance Goes a Long Way 

HR Policies aren’t meant to sit untouched—they should evolve alongside your business. A spring policy clean-up ensures your documentation stays accurate, supports your workplace culture, and keeps you in compliance with changing laws.
